Accounts and Billing
Accounts, access levels and invites, plan and usage pricing, invoices and payment methods.
An account is the customer record. It owns sites and domains, holds the hosting plan, and carries the people who can sign in and see them. Billing is the invoice and payment surface for the signed-in user.
The Accounts list
The search box is labelled Filter accounts… and matches the account name. Every column sorts.
| Column | Notes |
|---|---|
| Account | the account name |
| Users | member count |
| Sites | site count |
| Domains | domain count |
| Plan | the plan name |
| Billing | operator-only, reading Invoice due or Current |
The Billing column is operator-only in the interface and on the server, where the outstanding invoice count is stripped for anyone who is not an administrator or the account’s billing user.
The count pill reads 137 accounts. Paging is the standard 24, 48, 96 or 240 per page.
Right-click a row for Open account, Open sites in terminal and Copy account name.
Customers see only the accounts they belong to. Under the list they also get a live chat banner headed “Need a hand with an account?” with a Chat with us → link.
Creating accounts is operator-only. + New account in the top bar opens a dialog with a single Name field and a Create account button.
Account detail
The header shows the account name with a rename button, then, for operators, Delete account… and, for owners and administrators, Transfer ownership…. A meta line reads the plan name, the user count, the site count and the domain count.
The tabs, in order, are:
- Users & access
- Sites
- Domains
- Site defaults
- Invoices
- Plan
- Activity
Site defaults needs full access or ownership. Invoices and Plan need ownership or an administrator.
Plan
The Plan tab has three cards.
Usage
Usage shows three meters, each with a progress bar that turns amber at 80 percent:
- Sites reading
4 of 5 - Storage reading
12.4 of 20 GB - Visits / mo reading
84,000 of 250,000
Usage is recomputed every time the account loads. It sums production environments only, and it counts only sites billed on the plan, so sites carrying their own provider are excluded from the site count.
Plan
Plan lists the plan name, the price ($99/mo, or $297 / 3 mo on a longer interval), the next renewal date, whether auto-pay is on, and the addon and credit counts.
An account with no next renewal date is inactive. Operators see the notice “Hosting plan not active. Set a next renewal date to start billing this account.” and the primary button reads Setup plan instead of Edit plan.
Buttons are Edit plan or Setup plan for operators, and Request changes for everyone.
Next renewal estimate
The Next renewal estimate card previews what the next invoice will cost. It shows the renewal date, the estimated total, the interval unit, and a table with Type, Name, Qty, Price and Total columns and a Total row. Credits render in green with a leading minus.
The line items mirror the invoice the server actually generates, so the preview matches what gets cut:
- the base plan, or in per-site billing mode one row of
sites × price per site - Extra · Sites when usage exceeds the site limit, one unit per extra site
- Extra · Storage in blocks (10 GB by default), one unit per block over the limit
- Extra · Visits in blocks (1,000,000 by default), one unit per block over the limit
- addons, one-off charges, and credits
Overage prices come from the configured usage pricing, which stores a quantity, a cost and an interval for sites, storage and traffic. A cost quoted against a different interval than the plan’s is rescaled before it is multiplied out, so a monthly overage price on a quarterly plan prices three months of overage. A plan with no limit set, such as a Custom plan, prices no overages at all rather than billing every site as extra. The total never goes below zero.
The card only appears once a plan has both a renewal date and a price.
Editing a plan
Edit plan is an operator dialog titled “Edit plan for
- Plan, chosen from the configured hosting plans plus a Custom entry. Picking one copies its limits, billing mode and price.
- Interval, one of Monthly, Quarterly, Biannual and Yearly. Changing it re-prices from the base plan.
- Billing user, picked from the account’s members. Clearing it removes the billing user.
- Next renewal, a date and time with a Clear action. Clearing it is how you deactivate an account.
- Autopay and Auto switch plan toggles.
- A billing mode choice of Standard or Per site, where per site reveals Price per site.
- Storage, Visits, Sites and Price, editable on a Custom plan and read-only on a named one.
- Addons, Credits and Charges, each a repeatable list of name, quantity and price with + Add links.
- Additional emails.
Save with Save changes.
Hosting plans and usage pricing themselves are configuration, not something you edit on this screen.
Request changes is the customer path. It opens a dialog showing the current plan and a free-text box asking what you would like to change.
Users and access
The People card lists each member with a monogram, their name, their email and an access level pill. Owners get a brand-coloured pill.
The four access levels are:
| Level | What it allows |
|---|---|
| Owner | everything, including invoices, plan and user management |
| Full access | sites, domains, timeline and activity; can view users and send invites |
| Sites only | sites |
| Domains only | domains |
Pending invites appear as extra rows on a tinted background, showing the email, the level and when it was sent, with a Delete action.
Inviting someone
At the bottom of the People card, enter an email, pick a level from Full access, Sites only or Domains only, and click Invite. Owner is not invitable.
Administrators, owners and full-access members can send invites. If the address already has a user, they are attached to the account at that level immediately and get an access-granted notification. If it does not, an invite email goes out with a redemption link. Either way an activity log entry is written.
Only owners and administrators can delete a pending invite.
Removing and transferring
Remove on a member row asks for confirmation, then detaches them. Only owners and administrators can remove members, and the billing owner cannot be removed until ownership is transferred.
Transfer ownership… opens a picker of the other members. The dialog explains: “The new owner becomes the billing owner. The current owner is demoted to Full access.” A second confirm names who is taking over.
Sites and Domains tabs
The Sites tab lists the account’s active sites with their environments, provider, a health dot and a usage line reading visits and storage. A single button, Open all in terminal, targets every production environment on the account. Clicking a row opens the site.
The Domains tab lists the account’s domains by name. Clicking a row opens the domain.
Neither tab adds or removes anything. Assignment happens on the site page’s Accounts card and on the domain page’s Assign an account dialog. See Site detail and Domains and DNS.
Site defaults
Each account can carry defaults applied when a new site is created for it. The tab shows four rows with an Edit link on each:
- Default email
- Timezone
- Recipes on new site
- Default users
Edit opens the shared Site defaults dialog, subtitled “applied to newly created sites”. It takes a default email and timezone, a set of recipes to run on a new site, and a list of users to seed, each with a username, email, first and last name and a role. Save with Save defaults.
Administrators and full-access members can write account defaults. Lower tiers cannot, on the server as well as in the interface.
Activity
The Activity tab shows the 20 most recent activity log entries scoped to this account, each as a relative timestamp and a description. Entries cover invites, site sharing and unsharing, provisioning, account assignment, and domain and DNS operations.
Billing
The Billing screen is per signed-in user. It has three tabs: Invoices, Payment methods and Billing address. Everything is WooCommerce-backed, with Stripe as the payment gateway.
Invoices
Each row shows the order number, the date, the amount, a status pill and the actions View, PDF and, when the invoice is payable, Pay now.
Statuses are WooCommerce order statuses. Completed, processing, paid and refunded render green; pending, failed and on-hold render amber and are payable.
PDF downloads the invoice as a PDF. Pay now takes you to the invoice page rather than paying in place, so payment always happens on one surface with an explicit method choice.
Paying an invoice
The invoice page at /account/billing/<order-id> shows the invoice number, its status, the date, a Download PDF button, and a line-item table with Item, Qty and Total columns. A footer names the gateway and, when paid, the date it was paid.
While the invoice is payable, a Payment card appears listing your saved payment methods with the default preselected. Each row reads the brand and last four digits, its expiry for a card or the bank name and account type for ACH, a Default chip where it applies, and a Remove action. Unverified bank accounts are filtered out and cannot be used to pay.
The primary button reads Pay $68.00. Clicking it swaps the footer for an in-page confirm naming the amount and the method, with Cancel and Confirm payment.
+ Pay with a new card opens the Stripe card dialog in pay mode, with a submit button reading Add card & pay. That saves the card and pays in one step.
Paying with a method promotes it to primary.
Payment methods
The tab offers + Add card and + Add bank (ACH).
Each saved method row shows its label, a sub-line, a Primary chip where it applies, and a Pending verification chip on an unverified bank account. Actions are Verify on an unverified bank account, Set primary when it is not already, and Remove. Any method can be removed, including the primary one and the only one on file.
Add card mounts Stripe Elements in a dialog with the note “Secured by Stripe.”
Add bank (ACH) starts a Stripe bank connection. The dialog takes an Account holder name and explains: “You’ll be prompted to connect your bank securely (instant), or receive two micro-deposits to verify within 1–2 business days.” When micro-deposits are used, a Verify bank account dialog takes the two amounts in cents.
ACH payments settle over several business days. The Manager polls Stripe on those orders and moves them to completed or failed as they clear, noting the outcome on the order.
Billing address
The Billing address card shows the name and company, the street address, the city, state, postcode and country, and the email and phone. Edit opens a dialog covering First name, Last name, Company, Address 1, Address 2, City, State, Postcode, Country, Email and Phone. Save with Save address.
This address is stamped onto generated renewal orders and re-synced onto an order when it is paid.
Account invoices
The account detail Invoices tab is the account-scoped view of the same data, with headed columns: Order, Date, Name, Total, Status and actions. Opening an invoice from there remembers the account, so the back link returns you to that tab.
